What is the difference between a travel agency and wedding planner?

We are a destination weddings travel agency meaning that we help you find where you want to get married, we help you get in touch with the weddings teams at the resort and we are your support or advocate throughout the wedding process. We handle your guests' room reservation, coordinating their transportation and handling all travel and resort questions. A wedding planner focuses specifically on decor and logistics of your wedding day.

What does it cost to have a destination wedding?

The cost for a destination wedding varies depending on the resort, amount of guests and your vision. We usually see weddings costing around $12,000 - $40,000 so there is a big range. 

Do you create a website for guests to book accomodations?

Absolutely! We create a wedding website where your guests can book their room and find out all of the details regarding your wedding, the resort and deadlines. 

12 MONTHS BEFORE

  • Work with your travel agent on signing the room block
  • Determine an estimated budget guideline.
  • Ensure you have your passport and all required documents; if you are planning a legal wedding, the coordinator will inform you about necessary legal forms.

4 – 6 MONTHS BEFORE

  • Determine additional wedding events (welcome cocktail party, rehearsal dinner, day-after brunch). Contact the wedding team if you want to add more events at an additional cost.
  • Start planning outside resort activities like golf, catamaran trips, tours, etc., if desired.

2 – 3 MONTHS BEFORE

  • Finalize the guest list and room requirements.
  • Select final décor, choose flowers, and pick the cake from the catalogs.
  • Book ceremony musicians with the coordinator (Mariachis, violinists, etc.).
  • Share with the coordinator any special readings or songs requested for the ceremony & reception (DJ form).
  • Finalize the reception chart, seat cards (if applicable), and send them to the wedding coordinator.
  • Start working on menus.
  • For legal ceremonies, send completed paperwork to the coordinator (MUST be received at least 2 months prior).

1 MONTH BEFORE

  • Confirm all décor, floral, cake, and "little extras" with the coordinator.
  • Confirm menus for all events (cocktail hour, reception, rehearsal dinner, etc.) and report any guest allergy or special food requirements.
  • Book hair and makeup appointments at the spa for the bride and bridal party.
  • Have programs, menus, and place cards printed.
  • Confirm the timeline of events (e.g., seated for meals, first dance, father-daughter dance, cake cutting, etc.).
  • Ensure that all special requests have been noted and planned for.
  • Payment of 80% of the wedding contract will be required by your onsite wedding planner.

3 WEEKS BEFORE

  • Review your wedding contract and make final amendments.
  • Send the guest list of those not staying at the resort to the wedding coordinator (additional cost may apply).
  • Ensure the wedding coordinator has your travel schedule, final guest list, seating charts, DJ form, day timeline, spa & salon form.

UP TO 1 WEEK BEFORE

  • Set up a spa day with bridesmaids, mother, and other loved ones.
  • Arrange for welcome bag room drop-off (if desired, with concierge).
  • Schedule your meeting with your onsite wedding planner.
  • Payment of the remaining 20% of the wedding contract.

2 DAYS BEFORE

  • On-site meeting with the coordinator to go over all event details and make any last-minute changes or additions (bring everything needed for the wedding day).
  • Drop your wedding dress and groom’s attire off with the coordinator at the office to be steamed and prepared for the big day.
  • Arrange for special room drops (champagne, flowers, petit fours) to be sent to parents or the wedding party.
